Corwen and Dee Valley Archaeological Society (CADVAS) Data Processing Policy and Privacy Notice

CADVAS holds the following personal data for each of its members: First name, family
name, postal address, email address (if provided), telephone number, state of subscription
and gift aid status.
CADVAS holds this information in order to:
• Record the names and numbers of its members
• Administer the collection of subscriptions and other moneys due and reclaim gift aid
• Communicate with members to provide information on events and activities, and membership matters, including subscription reminders
• Provide a copy of the quarterly newsletters,
Other individuals
CADVAS also holds contact details for a small number of other individuals, including suppliers and non-members who have participated in on-line lectures or other activities organised by the CADVAS.
Processing of Data
CADVAS’s responsibilities towards the data and to the individuals concerned, and to individuals’ rights are stated in the Privacy Notice below, and which is available on the website.
In order to comply with current legislation, CADVAS will only process the data where there is a lawful basis to do so under the law from time to time in force.
The responsibility for this will lie with the person appointed for the purpose by the Executive Committee ofCADVAS (currently the Honorary Secretary).
Notifications
The CADVAS membership list will be maintained by the Membership Secretary or their nominated deputy and the list, or a version thereof, will be available to the officers of the organisation as necessary to administer CADVAS. Notices sent to the general membership by email will be sent by blind copy (BCC) so that the email addresses of recipients are not shared with other members. Communications with single individuals and with the executive committee may be sent with visible email addresses.

Corwen and Dee Valley Archaeological Society (CADVAS) is subject to Data Protection Regulations under UK law, which control the use of personal data.
CADVAS will:
• Comply with the data protection laws of the UK
• Only collect personal data for the purpose of the administration of CADVAS and its activities
• Only contact an individual if there is a lawful basis for doing so under the law from time to time in force
• Look after the data and notify the Information Commissioner’s Office immediately, if a data breach is identified
• Allow an individual to see the data held about them and if necessary, amend or delete all or part of the data
• Review data regularly and when no longer needed for the administration of CADVAS, delete and destroy it, or restrict it so that it cannot be accessed within 30 years
• Not pass the data to a third party without an individual’s consent or other lawful basis for doing so.
